Ground Team ("the app") is a field sales app published by Ground Team ("we"). This policy explains what data the app handles, where it goes and the choices you have. The app has no advertising, no analytics and no tracking.
You need an account to use Ground Team. You create one in the app with your email address and a password, with Sign in with Apple, or with Google. Accounts are managed by our sign-in service (Supabase), which stores passwords only in hashed form.
Each account belongs to a company, which is set up by its organization. After signing in, you join yours by accepting an invitation from its admin. The app opens only while you are signed in and a member of a company. Your work data is stored on our Team Sync server (hosted by Supabase in the United States) and shared with your company according to each person's role. This includes:
Each company's data is kept separate from every other company's. Within a company, admins and managers can see the company's records, activities and the team's work-day routes; reps see their own data and the records their company lets them see. Your company's admins decide who is on the team and what role each person has.
We do not send invitations. An admin can add your email address to an invitation so it appears in your app when you sign up with that address, and shares an invite code with you through their own apps (for example Messages or Mail). An invitation shows the company's name and the email address or phone number of the admin who created it, so if you invite someone, they see yours.
A copy of the company data you're allowed to see is kept on your iPhone so the app works offline; changes upload when you're back online. Signing out removes the company's data from your iPhone. If your session ends (for example your password was changed on another device), the data stays on your iPhone, locked, until you sign in again with the same account, or until you choose to remove it.
The app uses your location to show you on the map, verify visits and build routes. Background location is used only between "Start day" and "End day" to record your route and mileage. Visit locations and your work-day route are uploaded to your company's Team Sync server, where your company can see them as described above. They can also be part of a backup file you export, and visit locations part of an integration your company's admin sets up (see Sharing). If you agree to share with Anthropic, your current location is sent with the questions you ask the Co-Pilot (see AI Co-Pilot).
The AI Co-Pilot is optional, and the rest of the app works without it. It sends nothing to Anthropic (the provider of Claude) until you agree in the app, in a one-time step that asks whether to share data with Anthropic. You can turn this off again in Settings › AI Co-Pilot. After you agree, when you use an AI feature (asking the Co-Pilot, a visit prep brief, drafting or rewriting a message, or reading a business card), the app sends your request and the context it needs to Anthropic to generate the answer. That context can include your name, role, email address and phone number; your current location; your company's name and setup (pipelines, visit results, custom fields); the records your request is about, with their contact details, notes, messages and history; and a short list of other records you can see (name, stage and last visit date). For a business card, the text is read from the photo on your iPhone and only that text is sent.
Anthropic processes this data to provide the service under its commercial terms and does not use it to train its models. Your Co-Pilot conversation stays on your iPhone. Signing out removes it and your API key from your iPhone.
These are used only when you choose to take or attach a photo, scan a business card or record a voice note. Photos you attach become part of your company's data. Voice notes are transcribed by Apple's speech recognition, on your iPhone when it supports that.
We do not sell data or share it for advertising. Data is shared only with your company as described above and with these service providers: Supabase (accounts, the Team Sync server and file storage), Google Workspace (our email provider, to deliver one-time codes), Anthropic (the AI Co-Pilot, after you agree to share), Apple (maps and address search, push notifications, and Sign in with Apple if you choose it) and Google (if you choose to sign in with Google). These service providers process data only to provide their service to us and must protect it at least as well as this policy describes. If your company's admin sets up an integration (a webhook) in the app, the app also sends the record and activity details of the selected events to the address the admin entered. If you export a backup (Settings › Data), the file goes wherever you choose to share it.
Your company's data stays on our Team Sync server while your company exists. When an account or a company is deleted, the data deleted with it (described below) is removed from the server right away (a deleted company's photos and documents within 30 days at the latest), and any server backups that contain it are gone within 7 days.
In Settings › Team Sync you can sign out, leave your company, or delete your account (Settings › Team Sync › Delete my account; it is also on the "Your company" screen before you join a company). Deleting your account deletes your account and sign-in details (email address and any Apple or Google sign-in details, including a Google profile picture link) from the server, along with your memberships, your iPhone's push token and the invitations you created that are still pending, and removes the company's data from your iPhone. Your profile in the company and the records you created stay with your company unless an admin deletes them. If you are your company's only member, the company and all its records, including attached photos and documents, are deleted from the server too. Deleting the app removes its data from your iPhone; a sign-in or API key left in the iPhone's Keychain is discarded when the app is next installed.
Deleting your account. You can also delete your account on our website (groundteam.netlify.app, Account › Delete my account), or, if you can't sign in, ask us by email. See Delete your Ground Team account for the steps.
Ground Team is a business tool and is not directed to children under 13.
